Creating a template for notes to be sent via email or SMS

The content to be used for a note will be entered against the note category for each originator group.

In order for a note to be sent, the template to use must be created first. This template can be setup as either an SMS message or email.

1. In Clearmatch, navigate to Home Pages > Notification Management:



2. Select the Messaging Templates option under Templates:



3. When presented with the filter options, select the Finance Company from the drop down list (by default it should select the Originator Group as it is based on the Finance Company):



4. For more filter options, select the blank option from the Content Type drop down list (it will automatically default to Email) and type in Note for the Content field (as it will search all items regardless if they are email or SMS):

 

5. Look for the description labelled Note and it will show all of the companies who have this setup and the Content Type (SMS or Email). The importance of checking this beforehand, is to ensure that it does not already exist NOTE: this does not cause issues as you cannot create duplicate notes, but saves time unnecessarily creating it and then being told that it already exists:



6. If the note template is already created, then you can exit out of this process.  If the note template does not exist, please continue below.

7. To create a new template click on the cross/plus icon in the top right-hand corner

8. Select the Finance Company from the drop down list, that this template will be associated with:



9. Select the Originator Group from the drop down list (usually  based on the Finance Company and may automatically select one as a default):



10. Select the SMS option under the Content Type drop down list (an Email can also be selected or used if/when applicable):



11. For the Priority gauge, select the number to represent the importance of this template being sent NOTE: 1-2 is a high priority, 3-4 is a medium priority and 5 is a low priority.



12. Enter some details into the Template Content field, which is what the user will receive as a message on their mobile phone. NOTE: the content must have details with a placeholder e.g. “Note SMS [[MESSAGE]]”.



13. Once completed, to save the Note template, simply click on the button but If for any reason, you would like to exit out of this, click on the button.

14. Once the template has been created, navigate to the automated template configuration to tell the platform to use this template when sending notes via email or SMS.
