Transfer to account from a suspense account
There may be instances where an amount appears in the banking that is unknown and is allocated to a suspense account while trying to identify where it should be allocated.
Once identified the amount will need to be moved to the correct account.
1. Navigate to the suspense account where the transaction from the banking has been allocated
Select the suspense account from the list of suspense accounts on the page
2. Click on the transaction tab at the bottom of the page and filter for the transaction:
3. Select the transaction and navigate to the "Transfer to account menu item under "Functions" in the hamburger menu.
4. You will be presented with a page that allows you to select the account to allocate the money:
Account: Select the account the money needs to be allocated to.
if in any asset class besides fund, the list of accounts will only list (finance agreements, suspense accounts and control accounts) it will not list investment or fund accounts.
if the amount in the suspense account is a CR (negative) transaction it will list finance agreement accounts, however it if is a DR (positive) it will not as only a payment can be transferred to a finance agreement account
if in fund control the list of accounts will only list (fund accounts, suspense accounts and control accounts) it will not list investment or finance agreement accounts.
5. Click the "save" button. Transactions will be created to reverse the money out of the suspense account and into the new account.
If the amount is a credit i.e. a negative it will create:
- A "payment transfer debit" transaction in the suspense account and increase the balance.
- It will then create a corresponding transaction in the account selected i.e
- If account is a finance agreement, create a payment received (this will do transaction in finance agreement and investment same as a normal payment received).
- If the account is not a finance agreement account it will create a "payment transfer credit" in the account going to and reduce the balance in the account.
If the amount is a debit i.e. a positive it will create:
- A "payment transfer credit" transaction in the suspense account and decrease the balance.
- It will then create a corresponding transaction in the account selected i.e
- if the account is not a finance agreement it will create a "payment transfer debit" in the account going to and increase the balance in the account.
