Document templates are used as a way for customers to obtain or provide information about their structure, applications, finance agreements, investments .. etc. Once the document templates are defined by a finance company they can be configured to be sent to customers manually or automatically.
As the first step it is required to create a document template. From any asset class, finance company users can create following document templates:
- Borrower document templates : templates related to borrowers
- Investor document templates: templates related to investors
- Customer document templates: templates related to customers, this traditionally is documents to do with a customers entity that they wish to either borrow or invest under.
This
article will outline the steps on how to create a new customer document template. Same steps can be followed to create borrower and investor document templates as well.
Once the document template has been created, a physical document will need to be uploaded against the document template. Uploaded physical documents will be rendered whenever the document template is used. Steps on how to create a physical document with correct legal wordings, logos, images.. etc is mentioned in this
article. After creating the physical document, it can be uploaded against a document template by following the steps in this
article.
Once document templates have been created they can be used in a number of places in the platform namely
1) They can be manually generated by the finance company users from within their relevant location i.e. from within personal and business customers, applications, finance agreements, listings, investments..etc.
For the document templates to be generated manually, first they will need to be configured so that they are available in the correct locations. As an example this article include the steps on how to create a personal customer document configuration.
After setting up the document configuration, finance company users can generate documents manually using "
Create Letter /
Document functionality" from within the relevant location. As an example this
article will be illustrating the steps on how to generate a document manually against a personal customer.
2) Documents can be configured to be generated automatically by assigning them to workflows. The "
Document Workflow On Status Change" option can be used to generate a document automatically when a status of an application, finance agreement, investment ... etc changes. with the status change, the document will generated. As an example this
article will illustrate the steps on how to create application document workflow on status change.
3) Document templates can also be automatically generated as part of a welcome email sent to customers when they are created/registered. The documents can be assigned to the welcome email by accessing the "finance company trading category mandates" which can be found under setup > configuration menu in Fusion.

Also there are lists of documents that the finance company would like customers, investors and borrowers either to supply, sign or read. These documents will be defined at finance company and product and trading category level. Those documents are as follows :
- Documents to be supplied by customers: This is a list of all possible documents that the finance company would like the customer to either supply, or sign or read. This normally refers to documents that relate to the entity structure of the customer.
- Documents to be supplies by Investors : This is a list of all possible documents that the finance company would like the investors to either supply, or sign or read. This normally refers to documents that specifically to investing in specific asset classes or products.
- Application documents to be supplied by borrowers: This is a list of all the possible documents that the finance company would like borrowers to either supply, or sign or read.
